Tech Stack Optimisation
Compiled recommendations for optimising Pride’s technology stack. Based on Melbourne Venue Tech Stack Research (Perplexity, April 2026) evaluating 50+ tools across seven categories.
Current Stack Assessment
The existing stack is broadly sound. No platform needs replacing. The gaps are in inventory/COGS tracking (nothing in place), loyalty (PinTuna eliminated), email marketing, and AI feature activation.
Recommended Additions
Priority 1: Free — Activate Now

Priority 2: Configuration Checks (Free)
- Verify Amaka partnership free tier covers transaction volume (standard free tier caps at 60 txns/month, partnership tier appears uncapped — email support@amaka.com)
- Confirm Xero on Grow plan ($75/month) — Starter plan’s 20-invoice limit breaks Amaka on day 21
- Audit Deputy→Xero employee profile alignment — names, emails, and pay item names must match exactly across both systems
- Configure GST tax groups for alcohol items — unconfigured, Amaka syncs fail silently

Priority 4: Evaluate Based on Volume
- MarketMan (~$278/month via Square): alternative to Loaded for inventory, AI invoice processing, launched AU April 2026
- Deputy Payroll ($5/user/month): eliminates Deputy→Xero integration entirely but needs 6–12 months maturity at this scale
- Float ($59–99/month): cash flow forecasting from Xero data — evaluate if Cash Forecasting needs more granularity
- Tidio ($24/month): evaluate if event enquiry volume justifies chatbot
PinTuna Assessment (Updated April 2026)
PinTuna was initially eliminated from the shortlist as Shopify-first. Per Loyalty Programme Research, PinTuna is the only Square-native platform bundling gift cards, memberships, and event ticketing — a genuine advantage. However, its 5% flat discount mechanic is the weakest loyalty model for an LGBTQ+ community venue.
Decision gate: Audit PinTuna feature usage. If gift cards and ticketing are active, retain at First tier (~$78/mo) + add Square Loyalty ($40/mo) = $1,416/yr (saves $912/yr). If not active, migrate fully to Square Loyalty ($480/yr, saves $1,848/yr).

Deputy → Xero Integration Issues
The native integration has 13+ documented export error types. Most critical at Pride’s scale:
- Xero API rate limit (5,000 calls/day) — large payroll exports can hit this
- Employee name/email mismatches cause “Employee Not Found” errors (high casual turnover)
- Earnings rate mismatches block exports
- Pay rate amounts do NOT auto-sync — must be set manually in both systems
Long-term recommendation: Deputy Payroll add-on ($5/user/month, launched June 2025) eliminates integration entirely. Pilot with a subset of staff once maturity is proven.
Custom BI Dashboard: Validated
No off-the-shelf platform integrates with all four systems (Square, Xero, TryBooking, Deputy). Entertainment venues are an underserved niche — every platform is restaurant-first with no event/ticketing analytics.
