Central Finding
The current stack (Square POS, Xero, TryBooking, Deputy, Google Workspace, Amaka, custom BI dashboard) is broadly sound. The most important immediate actions are free: activate Square AI and Xero JAX. The biggest gaps are inventory/COGS tracking (nothing in place), loyalty (PinTuna eliminated), and email marketing. Total incremental spend for a fully optimised stack: ~$500–680/month.
Key Findings by Category
1. Square → Xero Sync: Stay on Amaka
The “native” Square→Xero integration IS Amaka — Xero retired its original integration in November 2021 and replaced it with Amaka’s platform. Amaka is free under its partnership tier (verify transaction volume coverage). If GST handling causes issues, trial LinkMyBooks (4.98/5 Xero rating, explicit AU GST docs).
Critical checks: confirm Xero is on Grow plan ($75/month) — Starter plan’s 20-invoice limit breaks integration on day 21. Manual tax group configuration needed for GST + alcohol items.
2. Deputy → Xero Payroll: Continue, Monitor
