TryBooking Attendance Data Loss
Key Facts
- Current system: Staff print patron lists from TryBooking, cross off names at the door, then discard the paper
- Data loss: 8 years of ticket SALES data exists; actual ATTENDANCE data is completely lost
- No scanning: No QR code or barcode check-in system
- Impact: Cannot calculate no-show rates, verify actual capacity usage, or optimise pricing based on attendance patterns
- Problem code: OPS-007 (operations), TECH-005 (technology)
The Problem
Pride of Our Footscray captures ticket sales data through TryBooking but fails to capture attendance data. Each event, staff print the patron list, manually cross off attendees at the door, and then throw the paper away. This creates a critical gap: 8 years of “who bought” but zero data on “who actually came.”
Without attendance data, the venue cannot answer fundamental questions:
- What percentage of ticket holders actually attend? (no-show rate)
- How many people are actually in the venue at any time? (capacity management)
- Which events attract high no-show rates? (pricing and programming optimisation)
- Are capacity limits being exceeded? (safety and compliance)
Business Impact
- Pricing: No ability to adjust ticket prices based on demand, seasonality, or event type
- Programming: No data on which events attract attendees vs. spectators
- Capacity: Manual checking at the door is slow and unreliable
- Forecasting: Cannot predict attendance for future events
- Analytics: No historical attendance trends
Solution: Barcode/QR Check-In
Implement a barcode or QR code scanning system at venue entry:
- Ticket generation: Tickets from TryBooking include unique barcode/QR code
- Check-in scanning: Staff scan each patron’s ticket as they enter (phone/tablet app)
- Attendance capture: Scan data linked automatically to TryBooking patron records
- Real-time reporting: Dashboard showing: attendance by event, no-show rate, capacity utilisation
- Historical archive: All attendance records linked to ticket sales for 8+ years of analysis
Options include:
- TryBooking native integrations (check for built-in QR features)
- Third-party ticketing with integrated check-in (e.g., Eventbrite, Splash)
- Custom mobile app integration with TryBooking API
