Full-Time Staff
Mat O’Keefe (Chief Executive Officer)
- Strategic direction and shareholder relations
- Financial approvals and payroll
- Government correspondence (ASIC, ATO, Liquor Licensing)
- Contract and supplier negotiations
Monique Anderson (Venue Manager)
- On-site operations and day-to-day management
- Staff scheduling and rostering oversight
- Incident management and security coordination
- Venue setup, service, and close (16-hour shifts)
Contractors and Casuals
Emily (Head of Programming & Promotion) — 38 hours/week
- Artist booking and event scheduling
- Social media promotion (Instagram, Meta)
- Customer enquiry coordination (meet@ email)
- TryBooking ticketing management
Tom — casual, variable hours
- Ticketing coordination
- Supplier invoice processing
- Spreadsheet management and reporting
Casual bartenders — approximately 12 staff
- Bar service, stock management
- Customer service during events
- Deputy clock in/out for rostering
Total Headcount
Approximately 20 people (including casuals averaging 8–12 hours per week each).
Key Capability Gaps
- Bookkeeper: Departed November 2025. Currently Mat manages invoice processing and Xero entry—a major time drain on CEO capacity.
- Graphic design: Emily manages all visual content creation; no dedicated designer.
- Junior venue manager: No backup to Monique for 16-hour venue shifts.
Role Coverage by Function
The small team covers all major business functions: Finance, Operations, Shareholder Relations, Government Relations, Event Planning, Marketing, IT, Compliance, and HR. This broad coverage creates resilience but limits depth and specialisation.
Cross-Training Needs
Current practice relies on individual expertise rather than documented procedures. Close procedures documented (18 pages) but difficult to follow when exhausted. Onboarding structured (3 training shifts) but informal.
Multi-Venue Expansion
Strategic plan envisions expansion to Fitzroy and Frankston. This requires:
- Centralised programming and finance (Emily, Shae as bookkeeper, Mat)
- Venue-level managers for each location (Monique retains Footscray; two new hires)
Bookkeeper function filled by Shae (Director, pro bono, ~1hr/week automated) as of April 2026. Expansion contingent on establishing operational scalability.
